How the prices are worked out
Cost per item is everything one item takes: the blank, materials like vinyl and transfer tape, packaging, a share for overhead (blades, mats, electricity, software) and your time at the hourly rate you set. Paying yourself for your time is part of the cost, not the profit.
Wholesale is the cost plus your profit, the price a shop pays when it buys several to resell. Retail is wholesale times two, the usual markup shops add, and the price to charge when you sell to the buyer yourself.
The platform price adds the fees on top, so you still keep the retail amount. On Etsy that is the listing, transaction and payment fees for your shop country. At a craft fair it is the card reader fee.
Every setting can be changed in the calculator. Save a product once and it is there next time you open the page, in the same browser.
Craft pricing examples
| Product | Cost | Wholesale | Retail | On Etsy |
|---|---|---|---|---|
| Vinyl decal, about 4 in | 2.60 USD | 3.25 USD | 6.99 USD | 7.99 USD |
| HTV t-shirt | 12.26 USD | 15.33 USD | 30.99 USD | 34.99 USD |
| Sublimation mug, 11 oz | 9.80 USD | 12.25 USD | 24.99 USD | 27.99 USD |

| Canvas tote bag with HTV | 8.92 USD | 11.15 USD | 22.99 USD | 25.99 USD |
Typical costs for one item, time paid at 15 USD an hour, 10% overhead, 25% profit and retail at 2 times wholesale. Etsy price for a shop in United States, shipping charged separately. Put in your own costs above.
Why crafters underprice
Most crafters price by looking at what other sellers charge and going a little lower. That tells you nothing about your own costs, and the sellers you’re copying may be losing money too.
Three costs get left out almost every time. The first is your time. If a shirt takes 20 minutes to weed and press, those 20 minutes have a price, even if you enjoy the work. The second is overhead: blades, mats, the heat press, electricity, the printer ink for packing slips.
None of it shows up on a single shirt, but all of it wears out and gets replaced. The third is platform fees, which on Etsy come out of every sale before you see the money.
A craft pricing calculator puts all of those into one number, so you know what an item has to sell for before it costs you money to make.
How the calculator builds a price
The calculator starts with cost. Materials plus the blank plus your labour (minutes times your hourly rate) plus overhead gives the total cost of making one item. Selling at that price pays you a wage for your time and nothing more.
The wholesale price adds a profit margin on top of that cost. This is the lowest price you’d accept from a shop buying in bulk, and the money your business keeps after paying you.
The retail price is usually about double the wholesale price. That gap is there so you can sell wholesale later without undercutting yourself. If a boutique pays you wholesale and sells at your retail price, both of you make money. If your retail price is close to wholesale, you can never sell to shops.
Profit per item is what’s left after cost and platform fees. Because labour is already counted in cost, this is profit on top of your wage. If it’s zero, you’re working for an hourly rate with no business behind it.
How to price Cricut shirts
A basic one-colour HTV shirt is a good place to start, because the costs are easy to count.
Use your real numbers. Blank cost is what you paid per shirt, including shipping on the bulk order. Materials covers the heat transfer vinyl for the design. If you’ve run the vinyl cost calculator, use its per-decal figure here, since it already includes waste. Time is everything from opening the design file to sealing the mailer: cutting, weeding, pressing, folding and packing.
Then pick an hourly rate you’d accept for the work. Many crafters use something near what they’d earn in a local part-time job. Using $0 because “it’s a hobby” is how hobbies end up costing money.
Multi-colour designs change the maths fast. Each extra colour means another cut and another press, and often doubles the time per shirt. Price a three-colour shirt from its own time estimate. Never take a one-colour price and add a dollar.
How much to charge for vinyl decals
Decals are where the calculator earns its keep, because the material cost is tiny and everything else is large by comparison.
A 3 inch permanent vinyl decal uses about 30 cents of vinyl and transfer tape once you allow for waste. Weeding and taping it takes two or three minutes. At $16 an hour that’s another 80 cents, and labour is already more than double the material cost.
Platform fees hurt small items the most. On Etsy, the listing fee and the fixed part of the payment processing fee add up to 45 cents per order, whatever the price. On a $3 decal that’s 15 percent of the sale gone before the percentage fees even start.
The fix is to sell decals in packs or with a sensible minimum price. A pack of five decals pays those 45 cents once. Packing time barely changes either, since five decals go into one envelope as easily as one. If single decals don’t make a profit in the calculator, don’t sell them as singles.
The Etsy preset
Choose Etsy as the selling platform and the calculator adds its standard fees to the retail price:
| Fee | Rate |
|---|---|
| Listing fee | $0.20 per item sold |
| Transaction fee | 6.5% of item price plus shipping |
| Payment processing (US) | 3% + $0.25 per order |
Source: Etsy fees and payments policy.
Payment processing rates differ by country, so sellers outside the US should check their own rate on Etsy and adjust it. The preset also leaves out Offsite Ads, because that fee only applies to orders that come through an ad Etsy places outside its own site. If many of your sales come that way, enter a higher fee estimate to cover it.
A worked example
A one-colour HTV shirt, sold on Etsy.
| Input | Value |
|---|---|
| Blank shirt | $4.50 |
| HTV, including waste | $1.00 |
| Time | 15 minutes |
| Hourly rate | $16 |
| Overhead per shirt | $0.50 |
Labour comes to $4.00, so the cost of making one shirt is $10.00.
With a 30 percent margin, the wholesale price is $13.00. Doubling that gives a retail price of $26.00.
On Etsy, if the buyer pays $26 plus $5 shipping, the fees come to about $3.40: 20 cents for the listing, $2.02 transaction fee on $31, and $1.18 for payment processing. Assuming the $5 shipping covers your postage, you keep $26.00 minus $10.00 cost minus $3.40 fees, which is $12.60 profit per shirt on top of your $4 of pay for the 15 minutes.
Now compare that with the $18 price many sellers list a shirt like this at. The same fees come to about $2.64, and the profit drops to $5.36. Then add one shirt reprinted because of a misprint every ten orders, and that thin margin is close to gone.
Save your setups
Most crafters sell a handful of product types: tees, toddler tees, tumblers, decals. Save each one as a setup with its blank, materials, time and platform. When a supplier raises the price of blanks, open the setup, change one number and see the new price straight away.
That’s also the right moment to rerun the vinyl cost calculator. A new roll at a different price changes the materials figure, and the materials figure changes everything after it.
Frequently asked questions
How do I price Cricut shirts?
Add the blank cost, vinyl, your time at an hourly rate, and overhead to get your cost. Add a profit margin for the wholesale price and roughly double that for retail. Then subtract platform fees to check that you still make a profit.
How much should I charge for vinyl decals?
Enough to cover about 30 cents of material, a few minutes of your time and the platform’s fixed fees per order. For a 3 inch decal, single-decal prices under $3 rarely make a profit on Etsy. Packs of three to five work better.
What hourly rate should I use for crafts?
Use a rate you’d actually accept for the work, often close to a local part-time wage. Whatever you choose, use the same rate across all your products so prices stay consistent.
What counts as overhead for a craft business?
Things that wear out or get used across many products: cutting blades, mats, the heat press, electricity, packaging, software subscriptions. Divide a month’s total by the number of items you make in a month to get overhead per item.
Does the craft pricing calculator work for platforms other than Etsy?
Yes. Choose a different platform, or enter your own fee percentage for markets, your own website or in-person sales.
